The top row of buttons on the graphic to your left represents the 4 User groups of your Resident Portal. Notice under Residents it is further categorized into 3 Resident sub-groups and under Staff there are 2 User sub-groups as well as information on how staff is trained under Training. The Resident Portal is web based meaning it allows residents to access The Resident Portal features from a shared computer(s) or Tablet device at your community, in their private room, or anywhere they have access to a computer or Tablet device and the Internet.
Resident users are classified in 3 Groups loosely depending on their type of senior living or senior care they are receiving at your community. Each group has a different user interface and features.
Resident Group: This group is designed for Memory Care residents and Assisted Living residents. There is no login and features are very often used as activities in a group setting.
Indy Resident Group: This group is designed for Independent Living residents Active Living or 55+ communities who access their features from their private room, condo, etc., and or a shared community computer or Tablet device.
Home Care Group: This group is designed for seniors utilizing Home Care or Comfort Care services.
Prospective residents and their family members can request and receive access and utilize the features of your communities Resident Portal. They can also be given access during a community tour. Some of our clients advertise locally they are conducting a "Learn to use a Computer" for free, and then use their Resident Portal to demonstrate technology and sign them up as Prospective Residents.
You can have as many prospects in your database as you want all the while they are viewing your Events, News, Media, etc., and getting to know your community. When a Prospective Residents moves to your community they can be designated to the appropriate Resident Group.
Family and friends of your residents also have access to your Resident Portal so they can keep abreast of what is happening at your community through Events listings, Activity Calendars, Community Media, Notices, and more as well as enjoy all the standard Entertainment features enjoyed by residents.
More importantly family and friends can send messages to their loved one at your community in the form of text, pictures, slide shows and videos. Family and friends can also send and receive messages from staff members.
There are 2 types of Staff Group Users.
1. | Community Staff & Users at the community level. |
2. | Enterprise Staff & Staff at the corporate level. |
Resident Group (Assisted Living & Memory Care) | |
Residents in the Resident Group do not need to login, at least 1 computer should be always open to the Resident Group home page so these residents can just sit down and start to use the features. Features for residents in the Resident Group should and are also designed to be group activities led by an activities coordinator demonstrating that technology can be fun and easy.
Residents in the Resident Group communicate using their Private Pages which is accessed by a simple code they are given, usually their first initial and last name. Below is what the Private Pages look like for a Resident named Steve.
Indy Resident Group (Independent Residents) | |
Independent Residents have their own login and access the features of their Resident Portal usually from their condo or from a shared computer(s). The Indy Resident Group is also used for 55+ Active lifestyle communities.
Along with the Activities and Entertainment features, Communication with staff and family, and Community Information features, Indy Resident group users also have a My Health feature where they can keep a private Health Journal, a Healthcare Contacts and Info section, My Reminders that helps them keep up with their medical needs and a Wellness Center to access hundreds of the latest health related articles. They also have a My Media section allowing them to store their own videos, pictures, documents securely and online.
Home Care Group (Home Care or Visiting Care Clients) | |
Designed for the increase in Senior Living Communities companies that also provide local Home Care or Comfort Care services and for stand-alone Home Care or Comfort Care Services, seniors in the Home Care Group receive the same benefits as those in the Indy Resident Group however they do not receive Community Meeting Minutes as there is no 'community' per se.
Home Care Group users do however have the same communications access as all users groups allowing them to be in touch with your care giving company as well as their family and friends.
Your Resident Portal can be accessed by as many staff members as you wish however normally it Is usually the Executive Director, Marketing Director, Activities Director, and sometimes the Chef to post menus, Concierge to post News, Calendars, Notices, etc.
There are 3 levels of Staff users:
Administrator | These users can add and edit data as well as add or delete other employees. |
Staff | These users can add and edit data. |
Employee | These users can communicate only. |
Staff easily updates their Resident Portal community content and reminded to do so via email when content needs updating. If your staff can use email, they can use The Resident Portal.
They can upload Community Media, (pictures or video from community events for all to see), Activity Calendars, Lists or Events where residents and family and friends can RSVP, Notices, daily, weekly or monthly dining menus and more. It is easy and quick to do.
Staff users can also send out mass emails to different groups of users they create, keep a calendar and use our Tutorials icon to understand best practices for all features of The Resident Portal.
Each user group users can also be accessed, edited, deleted and or added to instantly. Staff can also "connect" users so they can communicate with each other much like being someone's "friend" on Facebook.
Version 5.0 of the Resident Portal includes many new features for Enterprise Staff such as the COO, VP's and those not necessarily tied to one community. These Enterprise Services for larger corporate companies including;
1. | A company wide Sharing feature or Intranet so corporate users can share information instantly to all their communities staff in order to establish best practices on any topic. |
2. | A self-paced online training program allowing Community Champions (the person working with residents the most) to better engage residents to use features of the Resident Portal. |
3. | The ability to instantly view the progress of each community staff members training. |
4. | The ability to instantly access the Resident Portal Staff pages of any community. |
5. | The ability to instantly view usage reports. |
The Resident Portal Training System assures that whether you have hundreds of communities or just one that your staff will understand the capabilities and best practices of the Resident Portal to ensure success for everyone involved.
Each community designates a Community Champion, usually the Activities Director who goes through our interactive online Training System. During training the Community Champion is performing tasks and answering questions to ensure he or she is able to help other staff as well as residents who may need it.
The Training System is unique and extremely effective and can be performed at the Community Champions own pace and reports are sent automatically as to the progress of the training to a designated corporate officer or the Executive Director for standalone communities.
The Resident Portal Training System assures every client receives their ROI, residents engage and learn, families are included correctly and stay active and staff benefit from all Resident Portal cost saving features of its features. Any staff member can go through the training if desired and upon completion of the training staff members receive a Certification of Completion document acknowledging their understanding of best practices for seniors and technology.
Each User Group has a left hand menu that allows then to access a variety of community information.
Much of the same Community Information is also displayed on the Info Box.
All users communicate through the system using picture driven email. This is a screen shot of what the page looks like for a resident in the Resident Group. They simply select the person to receive their message:
Then they type their message. All other users except for those in the Resident Group will receive an email alerting they have a message on the system, much like Facebook. Residents in the Resident Group are alerted they have mail on the Info Box so a staff member or another Resident can alert them; remember those in the Resident Group do not need an email address to communicate.
To protect the privacy and security for your residents from spam or unwanted mail, each user must be connected to another member. All users have access to the Invite People feature which allows them to:
Type in a family or friends name and email and send them an invitation to be their "Friend" on your Resident Portal. Once the invitation is accepted the person is added to the users "Friends" group.
Residents and family can also use the Virtual Visit feature, web video conferencing made simple, to communicate with up to 5 people who can visit face to face at the same time.
Activities and Entertainment | |
For Resident Group residents working with Activity Directors, many of the Activities and Entertainment features can and should be used for group activities by connecting your computer to your big screen TV.
In the Tutorials section of the Staff Group, staff can find activities specifically designed for Memory Care residents using a variety of the Activities and Entertainment sections listed below.

There are a variety of ways The Resident Portal can be used for marketing your community(s). The basic idea is to get as many Prospects as you can in the Prospective Resident database.
1. | Using the Request Access icon on your Resident Portal home page, potential residents can request access and keep abreast of what is happening at your community as well as use all the features. Place a link on your main website to your Resident Portal. |

2. | Marketing staff has access to the Prospective Resident database and can communicate with them through the system and invite them to many events. |

3. | Create a Technology Demonstration Day for seniors in your area by advertising in the local paper. Let them know you will be demonstrating computer technology and showing them it is easy to use. Serve lunch and present The Resident Portal features. Sign all of them up either in the Family & Friends Group or the Prospective Residents Group. |

4. | Offset the entire monthly subscription fee of your Resident Portal by charging a small advertising fee to local businesses your residents like and post them in the Businesses section. You should only need 3 or 4 businesses to agree to a $10 monthly advertising fee. |
